Choose documents by the decision
Use the COA for batch acceptance, the TDS for ingredient and handling review, and the SDS or MSDS for workplace and shipping considerations. A document package is most useful when each file has an identifiable product name, revision and responsible supplier.
Do not let one file substitute for another
An SDS is not a purity certificate. A TDS is not proof that a shipped batch passed testing. A quality-system certificate is not a finished-formula performance report. Ask your purchasing, formulation and quality teams which document supports each approval rather than collecting files without a review purpose.
Request a consistent package
Provide the exact ingredient or blend, intended cosmetic application and destination. Ask the supplier to flag any difference in product naming across files. Confirm whether the package is a general reference set or the final batch-specific documentation supplied with an order.
Plan for changes
Keep a revision list and identify which changes trigger another technical review. Composition, handling instructions and analytical criteria should not silently drift between sampling and production. When a document changes, ask whether the material itself changed or only the way information is presented.
